Managing events
To manage your events (e.g., checking signups, publishing after creation, sending email to invitees, editing it, etc.) go to “My events” and click the event you want to manage.
Editing an event
If you need to edit an event, click “Edit event” in the event overview of the desired event.
You will be redirected to a page where you can edit the information of the event in the same fashion as when you were creating it. After saving the changes, the event will have been edited successfully.
Reviewing responses
To see responses for a particular event, go to the respective event and click “View Responses”. There you can see all users that have responded to the event, either by declining or accepting, as well as all invitees who have not yet responded. If the event is public, users that have not responded and were not explicitly invited do not show up.
You can also download an XLSX file containing the entire list.
You can also edit a users’ invitation at any time by clicking on their entry and changing their response on the screen that opens.
Sending out mails
If you need to send an email to invitees, signed up users, or individual users you can do so by clicking “Send email” from the overview of the respective event. You will be redirected to a page where you can (again for each language in the event) define an email like you did when creating the event. By clicking “Send email” the individual texts per language will be sent out.
Sharing a public event
If you are currently managing a public event, you can share it with others either via the invitation email you have set during creation of the event or by clicking on share event. This opens a dialog where you can either display the link to the event or download a QR-code which also redirects users to your event when scanned.
Cancelling an event
If you need to cancel an event, select the specific event under “My events”, then clicking on “Cancel event” in the lower right corner. Doing so will open a prompt where you will need to add a cancellation reason. This will be sent out to all registered and invited users, to notify them that the event is no longer taking place.
After entering a reason click “Confirm” to cancel the event. Keep in mind that while the event will no longer show up for users, it will still be visible under “My events”, so you can copy the settings if you ever need to.
Deleting an event
After cancelling an event or after it has taken place, it still shows up under “My events”. If you no longer wish to see it there you can permanently delete all information associated with the event. This includes dates, times, registrations, emails, files, and all other related data.
To do so select the event you want to delete under “My events” and click “Delete event” in the lower right corner. You will be prompted to confirm that you want to delete the event. Again, keep in mind that this action is irreversible, so make sure that you have saved any data that you want to keep on your PC first.
